There’s a lot to consider when it comes to booking a wedding venue – typically, it’s the most expensive part of the event! And as a luxury caterer, we’ve certainly worked at our fair share of wedding venues! So, we’ve written this complete guide to catering and venue selection to aid you in the selection process.

Whilst the majority of wedding elements can be skipped – perhaps you ditch the flowers or forego the wedding dress, a venue is essential. Choosing the right one can set you up for the rest of your celebration, so it’s crucial you leave enough time to research and consider all options available before making the final decision. Without further ado then, how should you go about choosing your wedding venue? 

Budget

The first place to begin when on the hunt for your dream venue is to evaluate your full budget and allocate accordingly. Perhaps you are happy to spend a little more to secure a particular venue, or perhaps you’d rather splash out more on catering. Once you understand where your budget needs to go, you can start searching for venues that suit your budget and meet your requirements. 

It can be daunting, but having a figure in mind can significantly help this process along as you understand where you’ll be spending. Weddings are expensive and the venue is typically the most expensive part of the celebration so bear this in mind!

Layout

The ideal reception layout accounts for guests being able to move about freely – and, for waiters to weave through without disturbing the celebrations. 

There should be enough space for unobstructed traffic flow to essential areas like bathrooms, exits, the dance floor and bar. No one wants to be weaving through a maze, particularly after a few drinks! 

Aside from traffic flow, visibility is also important. All wedding guests will be keen to see you as newlyweds, your first dance and toasts. So, ensure you choose a wedding venue that can comfortably accommodate all your guests without any obstacles getting in the way!

Finally, you should also be aware of the kitchen to table journey – where will your caterers be cooking and could the food get cold on its way to your seat? 

Parking for guests

Although perhaps not the first thing you think about when planning your dream day, transportation and travel logistics are crucial considerations to make. Some wedding venues have incredibly limited parking or are in locations where a pay-to-park lot is the only option.

Ensure you find out if any adjustments can be made for on-site parking – will guests be travelling from far? Or could a shuttle be arranged to pick up from the nearest public transportation link? 

But, it’s not just guests you need to think about. Vendors will also need to park to load in and out of the venue so it’s important you have all the necessary information before making a final decision. 

Stunning locations in wet or dry weather

British weather is unpredictable at the best of times. Whilst you may have your hopes pinned on a particular outside setting, should the forecast fail you it’s crucial you will still be happy with the alternative option. After all, this is one of the biggest days of your life!

Reception drinks, meal and post-meal party – check out both dry and wet weather options to ensure you are happy with the venue whatever the conditions on the day. 

A good range of suppliers

If a venue has a good range of suppliers to choose from, you can rest assured that they have a solid relationship and reputation in the local area. Particularly if you are limited to in-house suppliers only, having a range of choice – whether it be for a DJ, florist, caterer, band or photographer – is essential. 

You may fall in love with a venue, but if you are unable to utilise the suppliers you wish, the vision of your day may fall short. Know what you are signing up for before agreeing. 

Experience in delivering weddings

Of course, new venues are always popping up and these certainly shouldn’t be dismissed but, knowing the wedding venue you choose has experience delivering weddings can put your mind at ease. 

Should an issue arise on the day, this can be handled professionally without interrupting your day. So, be sure to check out testimonials from past couples and find out how long the venue in question has been offering weddings on-site. 

Furthermore, do they have any endorsements or features in wedding magazines? These can be an additional confidence boost. 

On-site equipment

You may opt for a venue that is almost a blank canvas, allowing for you as a couple to choose every element. From chairs and tables to lighting and cutlery, there are a lot of additional hire options and this can end up being overwhelming. 

It can, therefore, be wise to select a venue that has its own tables and chairs so that they don’t need to be hired. Not only does this knock another thing off your checklist but it can also really help keep costs down. 

Drinks policy

Having a drink is perhaps the second part of the celebration wedding guests most look forward to. You may have the option to dry hire and work with an outside supplier which can be particularly useful if you want to create a signature cocktail or speciality drink. 

However, a wedding venue may only allow you to use their own bar. So, you’ll want to understand the drinks policy beforehand. Don’t be afraid to ask the question – it will ultimately ensure your special day is how you envisioned!

Local hotels

Guests travelling from afar will likely want to stay close by to avoid expensive taxis home. But, a venue may not be able to accommodate all your guests or the rooms available may not be within everyone’s budget. 

We advise either asking a potential wedding venue or researching the local area yourself to find a variety of hotels for guests. They may be able to offer a discounted rate for your guests if they have a partnership with the venue. 

Back of house storage

On-day delivery can be highly risky – you never know what could happen on the busy roads, particularly around the South East. Back of house storage isn’t just a nicety, it can be a lifesaver! Allowing you and your suppliers to store items before and after the celebration can ensure the day runs smoothly. 

Cleanliness

On your show around of a wedding venue, be sure to pay close attention to the cleanliness particularly that of the bathroom. The restroom says a lot about the venue and can be an indication of the treatment and service you’ll receive on your special day. 

Licensing

Licensing can be easily overlooked as you get caught up in the setting and potential of a venue. However, it is a crucial piece of information that you must be aware of to ensure your wedding day goes without a hitch. 

Always check the licenced finish time for music, alcohol and guests departure – you don’t want to find on the day your party has to be cut unexpectedly short!

Is there a bridle room?

Whilst this certainly isn’t a make or break, a bridle room is a sought-after optional extra. It can elevate the overall mood of the day as you have a dedicated area to leave your things in the venue and get changed if you want to make a second change during the celebration. 

Pop open the champagne and relax as you undergo hair and make-up, making memories in this dedicated space.
